Operations Coordinator

We are seeking a highly organized and detail-oriented Operations Coordinator to manage and oversee all aspects of the production process from order placement to final delivery.

This role is responsible for ensuring accurate communication between internal teams, vendors, and customers while maintaining strict adherence to timelines, quality standards, and cost parameters.

The ideal candidate will be proactive, efficient, and possess excellent problem-solving and coordination skills.

Key Responsibilities

Order & PO Management

Place vendor orders within 24 hours of receiving approved costings.

Ensure accuracy and alignment between the company PO, customer PO, and internal production sheets.

Review and reconfirm all PO details prior to production start.

Trims & Finishing

Prepare and communicate trims and finishing sheets to vendors within 48 hours of PO placement.

Verify all trims are correctly matched and delivered, even post-processing by the trims coordinator.

Communication & Coordination

Maintain timely communication with sales teams, vendors, logistics, blanks manager, and customers.

Ensure all stakeholders are aligned on production progress, timelines, and updates.

Provide WIP (Work-in-Progress) updates to sales at least twice per week.

Production Oversight

Manage production sheets; verify accuracy and communicate thoroughly to vendors.

Conduct regular WIP meetings with vendors to monitor progress and flag delays.

Act as the main point of contact for all production-related issues.

Shipping & Quality Control

Ensure all shipment details, QC reports, and pre-production samples are reviewed and approved.

Coordinate timely sample submissions to customers as per sales schedules.

Provide accurate routing information to the logistics team well in advance of shipment deadlines.

Invoicing & Documentation

Issue production invoices promptly upon completion.

Ensure accuracy in reporting production costs and statuses.

Confirm correct currency details, especially for international invoicing.

Oversee full file closure with complete documentation post-production.

Chargeback & Compliance

Take ownership of preventing chargebacks by ensuring thorough checks on vendor documentation and processes.

Address and resolve any chargeback issues in a timely and transparent manner.

Problem Resolution

Handle all production-related issues, collaborating with vendors and internal teams to resolve them efficiently.

Qualifications & Skills

Bachelor's degree in Business, Supply Chain, or related field preferred.

2–4 years of experience in production coordination or apparel manufacturing preferred.

Strong organizational and multitasking abilities.

Excellent communication and interpersonal skills.

Proficiency with MS Office and production tracking systems (e.g., Philcos or similar platforms).

Detail-oriented with a proactive, problem-solving mindset.

Ability to work under pressure and meet strict deadlines.
