Job title : Billing Coordinator

Schedule : Monday to Friday PST

We are seeking a detail oriented and flexible Billing Coordinator to join our billing team. You will play a key role in preparing and submitting invoices, managing multiple client accounts, and ensuring accuracy in a fast-paced environment.

What You’ll Do

  • Prepare and submit invoices through client portals (Ariba, Coupa, etc.)
  • Manage billing cycles (weekly, bi-weekly, monthly, and customized)
  • Communicate with branch offices to gather missing billing details; escalate through Teams or calls when urgent
  • Track purchase orders, resolve discrepancies, and follow up with clients / branches
  • Manage multiple accounts
  • Maintain organized spreadsheets, billing calendars, and reports in Excel
  • Participate in client or branch calls to resolve billing questions or complaints
  • Support subvendor billing processes when required, handling sensitive data with confidentiality

What We’re Looking For

  • Previous billing experience (volume management is more important
  • Strong organizational skills and attention to detail
  • Ability to multitask, prioritize deadlines, and adapt quickly to urgent requests
  • Excellent written and verbal communication skills
  • Excel proficiency (intermediate to advanced)
  • Team-oriented, dependable, and professional — focused on client service and accuracy
  • Ability to handle confidential data responsibly
