Your JobMolex is seeking a proactive and organized Office Coordinator to support both Human Resources activities and office management functions at our corporate offices.
In this role, you will manage a variety of administrative tasks related to employee lifecycle management, event planning, and office coordination, ensuring smooth operations and enhancing employee satisfaction.Our TeamYou will be part of a dynamic, collaborative team dedicated to providing seamless workspace solutions and HR support that empower employees and boost productivity.
Our team values attention to detail, continuous improvement, and cross-functional cooperation in a fast-paced environment.What You Will DoFacilitate onboarding and offboarding processes by managing user profiles, key card assignments, and employee documentation.Plan, coordinate, and execute internal and external events, including arranging venues, catering, and transportation logistics.Manage office resources such as parking access and room bookings, ensuring efficient use and timely communication with stakeholders.Collaborate on office community initiatives and support billing, invoicing, and credit tracking related to workspace services.Provide training to supervisors on internal systems for access and vacation requests.Support HR with benefit communication, life insurance updates, and voluntary resignation processing.Maintain clear and effective communication with employees, vendors, and internal teams to ensure excellent service delivery.Who You Are (Basic Qualifications)Experience in administrative support, facilities coordination, or HR assistance.Strong organizational skills with the ability to manage multiple tasks efficiently and with attention to detail.Excellent written and verbal communication skills in Spanish and English.Proficiency in Microsoft Office and familiarity with digital collaboration tools.Ability to work independently and collaboratively in a fast-paced, detail-oriented environment.What Will Put You AheadKnowledge of HR processes including onboarding, benefits administration, and employee documentation management.Experience coordinating events and working with vendors.Familiarity with billing, invoicing, and resource usage tracking systems.Ability to analyze data related to office resource allocation and billing.Experience supporting office renovation or workspace transformation initiatives.At Koch companies, we are entrepreneurs.
