We are seeking a proactive, discreet, and highly organized Bilingual Executive Assistant to provide high-level administrative and management support to the CEO & Senior Management. This role is essential to ensuring the smooth and efficient operation of the executive office and requires fluency in both Spanish and English .
Key Responsibilities :
Administrative & Executive Support
- Manage and maintain the director’s calendar, including scheduling meetings, appointments, and travel.
- Filter and prioritize calls, emails, and correspondence.
- Prepare and report expenses.
- Coordinate and prepare meeting materials (presentations, reports, minutes).
- Maintain confidentiality of sensitive information and documents.
Project & Task Management
Track and follow up on projects and tasks to ensure deadlines are met.Prepare follow-up reports and summaries for management.Coordinate communication across departments for seamless operations.Travel & Event Coordination
Plan and book domestic and international travel (flights, accommodations, transportation).Create detailed itineraries and ensure the director is fully prepared.Organize corporate events such as conferences, business dinners, and team meetings.Bilingual Communication
Translate documents, emails, and presentations between Spanish and English.Serve as an interpreter during meetings with international partners or clients.Draft formal communications and reports in both languages.Act as the primary liaison between the director and internal / external stakeholders.Qualifications :
Education & Experience
Bachelor’s degree in Business Administration, Public Relations, or a related field (preferred).3–5 years of experience as an executive assistant or in a similar role.Certifications in executive secretarial work or management assistance are a plus.Skills & Competencies
Advanced proficiency in Spanish and English (C1 level or higher).Strong organizational, planning, and time management skills.Excellent verbal and written communication.High level of discretion and professionalism.Proactive problem-solving abilities.Proficiency in Microsoft Office Suite, Zoom, Teams, and database management systems.
