Warranty Administrator

We are seeking a Warranty Administrator to manage and oversee warranty claims from initial registration through final resolution. This position is responsible for ensuring timely customer support, accurate documentation, internal coordination, and effective claim resolution while contributing to customer satisfaction and continuous process improvement.

Key Responsibilities

Warranty Claims Administration

• Receive, register, and validate customer warranty claims.
• Review warranty eligibility and determine claim applicability.
• Document rejection reasons when warranty coverage does not apply.
• Monitor and follow up on claims through final closure.

Warranty Order Management

• Create and manage warranty orders within the system.
• Coordinate shipment and receipt of replacement parts.
• Monitor response times and ensure service level compliance.

Warranty Data Management

• Register warranty claims in the system.
• Ensure all claims contain complete and accurate documentation for analysis and resolution.
• Generate customer warranty claim reports and performance metrics.
• Confirm and register warranty orders in the system.

Corrective Actions & Continuous Improvement

• Collaborate with the Quality team to initiate corrective actions related to customer complaints.
• Follow up on corrective actions to ensure timely implementation and customer satisfaction.
• Review and validate the effectiveness of corrective actions with the Quality department.

Training & Knowledge Sharing

• Conduct warranty department onboarding and induction training for new employees.
• Train and support technical personnel assigned to Warranty Services.
• Promote knowledge sharing and best practices within the team.

Qualifications

• Strong customer service orientation.
• Excellent organizational and administrative skills.
• Experience managing warranty claims and customer cases.
• Strong attention to detail and documentation control.
• Ability to work effectively with cross-functional teams.
• Good communication and problem-solving skills.
• Proficiency in Microsoft Office and ERP systems is preferred.
