We're seeking a highly organized, proactive Executive Assistant to support a founder overseeing multiple businesses and a large, fast-moving team.
This role blends operations, project management, and communication — turning chaos into clarity, ensuring follow-through, and building the systems that keep everything running smoothly.You'll manage day-to-day execution, organize documentation and data, maintain visibility across key projects, and serve as a force multiplier to the executive's productivity and bandwidth.Key ResponsibilitiesOperational & Project Management
Oversee and track multiple ongoing initiatives across departments using ClickUp, ensuring deliverables, deadlines, and ownership are clear.
Build and maintain SOPs, documentation, and internal knowledge bases (Notion or similar) that standardize workflows and improve team clarity.
Continuously structure, update, and optimize company systems to eliminate inefficiencies.
Handle follow-ups, reminders, and accountability loops to keep tasks moving without executive oversight.Communication & Coordination
Serve as the primary bridge between the executive and internal teams — triaging requests, gathering updates, and maintaining alignment.
Take detailed meeting notes, capture decisions, and prepare agendas or materials for upcoming meetings.
Own internal communications, ensuring important updates, deliverables, and initiatives are clearly shared across leadership and teams.
Manage scheduling, meetings, and external correspondence with precision and professionalism.Research & Development
Conduct research and development on outsourced tasks, tools, vendors, and new business ideas — summarizing findings into clear insights and next steps.
Anticipate needs by proactively identifying gaps, proposing solutions, and presenting streamlined processes or automations.KPI Tracking & Reporting
Maintain and update KPI dashboards across departments (Google Sheets, Airtable, or similar).
Analyze trends, highlight bottlenecks, and surface insights to improve operational performance.
Help standardize data reporting processes to ensure accuracy and consistency across business units.Finance & Administration
Support light bookkeeping and accounting — including expense tracking, payroll coordination, and invoice organization.
Liaise with the accounting team to ensure financial data is reconciled and documented properly.
Maintain organized file systems for contracts, invoices, and critical documents.Execution & Ownership
Take full ownership of low-leverage tasks — research, outreach, scheduling, document organization — freeing the executive to focus on high-impact initiatives.
Operate with high initiative and accountability, driving projects forward without constant direction.
Protect executive time by managing priorities, anticipating needs, and proactively solving problems before they arise.Required Skills & Qualifications
3+ years of experience as an Executive Assistant, Operations Manager, or Project Coordinator in a fast-paced environment.
Strong command of Notion, ClickUp, Google Sheets, and other organizational tools.
Exceptional written and verbal communication skills.
Highly organized, detail-oriented, and capable of managing multiple moving parts.
Analytical and tech-fluent — able to interpret data and implement process improvements.
