Responsibilities
- Complete daily processing of purchase orders, order changes, and provide necessary information to stakeholders. This includes preparing and processing purchase orders, maintaining records, updating vendor information, and training on related applications and policies.
- Process and set up all new vendors and update vendor contact and contract information.
- Ensure effective communication between Buyers, vendors, and internal departments regarding order changes.
- Follow up on receiving after POs are created so invoices can be paid and goods / services are recognized in the correct period.
- Monitor Purchase Orders and work with stakeholders to create POs and receipts in a timely manner.
- Process purchase orders, receipts and update information.
- Work with departments to obtain proper approvals, research discrepancies, and resolve issues.
- Deliver excellent service to clients according to SLAs.
- Support the Procure to Pay process.
Qualifications
Who Are We Looking For?
Education : Administrative (could fit with Accounting, Finance, Economics, Administration, Data Analytics)
Experience
Minimum 2-3 years of administrative work related to invoices, payment terms, contract terms, month-end and year-end closing processesIntermediate Excel; knowledge of data visualization tools such as Power BI, Tableau, DOMO, Data Studio is desirableLanguage : Spanish / English (desirable intermediate-advanced)Skilled at collaborating across cross-functional teamsAbility to handle transactional (repetitive) workStrong analytical and problem-solving skills to identify root causes and formulate effective actionsComfortable periodically providing status and reporting to different area managers / directorsIf this is an opportunity that interests you, we encourage you to apply even if you do not meet 100% of the requirements.
