Role Overview
The Subcontractor Management Associate will lead efforts to source, qualify, onboard, and manage subcontractors (plumbers, carpenters, electricians, painters, etc.) across multiple ongoing renovation projects.
Key Responsibilities
Subcontractor Sourcing & Recruitment
- Identify, recruit, and maintain a reliable network of subcontractors across various trades.
- Post subcontractor openings on relevant platforms, conduct outreach, and pre-qualify subcontractors.
- Screen and evaluate subcontractor candidates for trade expertise, experience, and fit with project scope.
- Verify licenses, insurance, W9s, and compliance documentation before engagement.
- Maintain an updated subcontractor database and pipeline by trade and region.
Onboarding & Compliance
Coordinate onboarding for new subcontractors, ensuring all legal and safety requirements are met.Set up subcontractors in internal systems and communicate company standards, policies, and expectations.Track expirations for insurance, certifications, and agreements to ensure continuous compliance.Project Coordination & Scheduling
Collaborate with Project Managers and Estimators to understand upcoming labor needs per project phase.Assign subcontractors to projects based on skill, capacity, and availability.Support scheduling to ensure subcontractors are aligned with project timelines and sequencing.Track subcontractor attendance, site performance, and progress reports.Performance Management & Relationship Building
Evaluate subcontractor performance on quality, timeliness, safety, and communication.Address any performance issues or disputes promptly in coordination with Operations.Build and maintain strong working relationships with high-performing subcontractors.Conduct periodic evaluations and maintain feedback loops for continuous improvement.Administrative & Reporting
Maintain accurate subcontractor records, contracts, and project-related documentation.Generate weekly reports on subcontractor utilization, labor costs, and pipeline health.Collaborate with HR and Operations to streamline processes between recruitment and field deployment.Preferred Skills & Experience
2–4 years of experience in construction HR, trade recruitment, or project coordination.Familiarity with construction trades, scopes of work, and project sequencing.Knowledge of subcontractor compliance (W9, COI, licensing, OSHA).Strong understanding of construction project workflows, scheduling, and estimation basics.Excellent communication and relationship management skills.Organized, detail-oriented, and capable of balancing multiple priorities.Proficiency in project or CRM tools (e.g., Monday.com).What Success Looks Like
