The position offers flexibility for part-time or full-time hours, with responsibilities evolving as business needs grow.Key Responsibilities : Please note this role may shift overtime as business needs shift.
The responsibilities outlined below may be adjusted accordingly.Virtual ReceptionAnswer all incoming business callsScreen and manage spam calls.Professionally handle client inquiries and new client calls.
Provide empathetic, knowledgeable communication to parents, including those with children diagnosed with autism.Respond to employee and and current client calls and text via google voiceRelay messages and client info accurately to the internal teamRepresent with warmth, professionalism, and understandingRespond to website inquiries and chatsAdministrative SupportManage client scheduling and session adjustments (via internal software).
Respond to emails and text messages complete administrative follow-ups.Handle rescheduling requests due to staff or parent cancellations.Send reminders and maintain daily appointment schedules.Review session notes for completion and send reminders to employees with incomplete notesFill out forms and maintain up-to-date records.Send out reminders of progress and expiration dates of RBT courses weekly per employee in course programSend out reminders of expiration dates of RBT Certificate 30days prior to expiration per employeeSocial media management creating bi weekly posts to be approved by owner prior to postingSendout reminder of BCBA Certificate expiration 90, 60 and 30 days prior to expiration dateSending our reminders of insurance authorization expirations to BCBA to complete assessment 60 and 30 days prior to expiration.Conduct monthly parent check-ins via email during the first 60 days with new providerConduct employee check-ins at 30 and 60 days of employment to provide supportMeeting with employees for new hire orientation to explain company culture and expectationsRecruitment SupportManage job postings (e.g., on Indeed).
Review applications and conduct candidate screening.Schedule phone interviews.Perform basic candidate vetting (e.g., verify certifications, initial background check steps).
Send standardized onboarding emails to new hires (background check, policies, etc.).
Qualifications & SkillsFluent in both English and Spanish (verbal and written) with the ability to communicate naturally and professionally over the phone.Strong communication and interpersonal skills, especially with parents and families.Experience with customer-facing phone support or reception preferred.Prior experience in executive assistant or admin roles is highly desirable.Ability to manage tasks independently and maintain confidentiality.Familiarity with HIPAA is a plus (HIPAA training will be provided).
Tech-savvy with the ability to use scheduling and email tools.
