Who We're Looking For :

We are seeking a highly organized and professional Administrative Assistant to join our team in Monterrey. This individual will provide critical day-to-day support to our leadership and staff while helping to ensure the efficient operation of our firm.

Key Responsibilities :

  • Answer and direct telephone calls
  • Manage and log all shipping and receiving of drawings and parcels
  • Perform accurate data entry and maintain various internal records
  • Track staff attendance and assist with timesheet documentation
  • Manage calendars and assist with meeting scheduling
  • Help coordinate and set up for office and client meetings
  • Take and distribute clear, organized meeting notes
  • Assist staff with travel arrangements and process travel reimbursements
  • Perform credit card receipt reconciliation and reporting
  • Sort and distribute incoming mail, shipments, and courier deliveries
  • Scan, file, and organize both digital and hard-copy documents
  • Oversee maintenance and replacement of office equipment (i.e. printers, copiers, faxes, AV systems) and coordinate office supply inventory
  • Assist with the planning and execution of internal meetings and special events
  • Support general office upkeep and presentation to ensure a professional work environment

Qualifications :

  • Minimum 3 years of administrative experience in a professional office setting
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
  • Proficiency in Mac / Apple related products and related office software
  • Exceptional organizational, communication, and time management skills
  • Detail-oriented with a proactive and solution oriented approach
  • Ability to handle sensitive information with discretion and professionalism
  • Ability to multitask and work independently
