DescriptionAn experienced Records and Information Management ("RIM") Analyst is required to join the WTW RIM function on a permanent basis, operating at a global level.
Experience of having worked with control functions such as legal / privacy, cyber & information security, enterprise risk and compliance, technology and business stakeholders is vital for this role.
Experience of working with on-shore and off-shore stakeholders in a multiple countries and time zones is also required.This role will also act as a key point of contact for colleagues requiring assistance or information regarding records, both hard copy and electronic.
The role will be required to support the generation and analysis of RIM metrics, and assist in the development of internal quality reviews to provide programme assurance.The role : Assist in establishing and embedding the RIM function globally, operationalizing the WTW Records Management Policy and associated standards, whilst supporting the firm's implementation of new digital ways of workingAssess elements of RIM program compliance against a defined set of requirements, including record categorization against the company's Records Retention Schedule, disposition and legal hold processesAssist with internal client-delivery requests around record retrievals / disposals; and support of records management tools and systems via ServiceCentral (including permissions of these systems)Manage legal hold and legal hold release processes, as they relate to RIMAnalyze and perform reconciliations of record datasets, where RIM has direct oversight to monitor integrity of data, and make suggestions for improvementDeliver direct or virtual training to associates around the RIM program objectives and associated toolsets; Primary records and information management support to the business and end user community globallyEffectively gather and document system issues by asking probing and clarifying questions and sharing best practices for issue resolutionPrioritize reviews using a defined risk-based approach, in conjunction with the Line of Business remediation plans, providing robust challenge and suggesting actions to overcome barriers where requiredDeliver strategic recommendations for remediation to process and system ownersLiaise with technical specialists and other business analysts from WTW / 3rd parties to support remediation ensuring these meet defined requirementsTrack completion of remediation milestonesReport on progress, highlight, escalate and overcome any issues or barriers to deliveryEstablish strong relationships with process, system, risk and record ownersEstablish a regular process to control in-scope procedures and systems and drive execution of the plans against agreed deadlinesQualificationsThe requirements : Minimum 10 years of overall business management experience in a complex, financial services, or professional services organizationMinimum 5 years working in a Records and Information Management (RIM) or Privacy / Compliance / Risk Management / Data Governance related roleSolid knowledge around the legal and regulatory context that applies to retention of Records and DataExceptional communication skills, both written and verbal (English language)Ability to produce accurate and informative gap analyses – measuring the organisation's current state capability versus any new regulatory requirements that ariseStrong awareness and experience of the lifecycle management around electronic recordsExperience of implementing retention within an organization, and process improvement, is preferredStrong understanding of Risk Management and Control Environment – ideally with experience working in this fieldProven analytical and organizational skillsAbility to plan and lead project workstreams across different regions and culturesAbility to multi-task and prioritize work to meet deadlinesMust be a self-starter and able to self-direct in a virtual environmentConscientious team player, driven by an attention to detail with a focus on high quality workProactively looks for ways to improve operational efficiency toward continuous improvementExperience working in a regulated environment would be preferableRetention experience within M365 / Azure platforms would be an advantageEffective in a fast paced, busy and pressurized environmentAdaptive to changeWillis Towers Watson is an equal opportunity employer
